Announcement audio files are messages that play immediately after a caller selects a menu option. For example, if a caller presses 1 for sales, they might hear "Thanks for calling sales, please hold while we connect you." After the announcement plays, the caller is either connected to forwarding devices or sent to an end destination (disconnect, another call menu, or a voicemail box).
This is different from the Call Menu audio prompt, which plays before the caller makes a selection and explains the available options (e.g., "Press 1 for sales, press 2 for support"). To change the main menu prompt, edit the Call Menu itself using the Edit button that appears above all of the menu options. See How to Change the Call Menu Audio Prompt.
Note: Before you can assign an announcement, you'll need to upload or record an audio file. The preferred method is through the Talkroute desktop or web application. See How to Add Audio Files for instructions.
How to Change a Menu Option Announcement
-
Log in to your Talkroute account and navigate to the Manager section.
-
Under Call Menu, click Edit next to the menu option you want to update.
-
In the audio file dropdown, select the announcement you want to use.
-
Click Save & Close to apply your changes.
Allow Extension Dialing During Announcement
By default, callers cannot dial multi-digit extensions while an announcement is playing. To enable this option:
- While editing the menu option, click More Options.
- Change "Allow dialing of extensions during greeting?" to Yes.
- Click Save & Close.
Uploading Audio from the Control Panel
You can also upload or record a new audio file directly from the menu option settings by clicking the upload icon next to the audio dropdown. This opens a quick upload/record dialog without leaving the page.
