How to Add Multiple Digit Extensions

Extensions are 3 or 4 digit numbers that callers can dial to reach a specific person, department, or destination. Extensions can route calls to forwarding phone numbers, play recorded messages, or send callers to voicemail.

Important: You can use either 3-digit or 4-digit extensions, but not both at the same time. If you want to switch formats, you must first delete all existing extensions of the other length.

 

Creating an Extension


  1. Log in to the Talkroute control panel and navigate to the Manager section.

  2. Scroll to the Extensions section at the bottom of the Manager page and click Add New Extension.

  3. Enter an Extension Number (3 or 4 digits), a Description (e.g., "John Smith" or "Sales"), and choose where to route incoming calls from the dropdown.

     

     

The routing destination you select determines what happens when a caller dials the extension. See the sections below for each routing type.

 

Routing to Forwarding Phone Numbers


Select Go to Users & Numbers to forward calls to mobile phones, landlines, or other phone numbers.

Choose your forwarding type (Ring in Sequence or Ring All) and add the forwarding phone numbers. Click Save & Close when finished. For more details, see How to Add a Forwarding Phone Number.

Tip: To play an audio message before connecting to your phones, click More Options and select an audio file under What audio file should we play before connecting to your phones?

 

Routing to an Audio File (Announcement)


Select Go to Other Destination to play an audio message when callers dial this extension—useful for special information, hours, or directions.

Select an audio file from the What audio file should we play? dropdown, then choose where to send callers after the message plays. Click Save & Close.

Routing to Voicemail


Select Go to Other Destination, then set Where do you want to send callers? to Go to a Voicemail Box and select which voicemail box should receive the messages. Click Save & Close.

Once saved, your new extension will appear in the Extensions section with a route summary showing the destination.
