Zapier Integration Information

Zapier is an automation tool that enables businesses to connect various web apps and services, allowing them to communicate and work together seamlessly. With Zapier, you can create automated workflows (known as "Zaps") that trigger actions in one app based on events in another app.

At Talkroute, we're excited to offer an integration with Zapier that allows our customers to send completed call data, text messages, and new voicemail message notifications to other apps in their workflow. Here are some examples of how you might use the Talkroute-Zapier integration:

  • Send completed call data to Google Sheets: With this Zap, every time a call is completed on Talkroute, the caller's information and call details will be automatically added to a Google Sheet. This can be incredibly helpful for tracking and analyzing your call data over time.
  • Get notified of new voicemails in Slack: With this Zap, you can receive a notification in Slack every time a new voicemail is left on Talkroute. This can help you stay on top of your messages and respond to them more quickly.
  • Save text messages to Airtable: With this Zap, you can automatically save all text messages to an Airtable database. This can be useful for keeping track of customer inquiries, feedback, or support requests.

How to Get Your Personal Access Token


Let's guide you through the process of obtaining a Personal Access Token (PAT) from your Talkroute account. A PAT is a unique code that allows third-party services like Zapier to access your Talkroute account, so you can automate tasks and streamline your workflow. This is a quick and easy process that only takes a few minutes to complete.

  1. Log in to your Talkroute Control Panel

    Log in to your Talkroute Control Panel at cp.talkroute.com. Once you have entered your username and password, you will be taken to your account dashboard.

     

  2. Navigate to Your User Profile

    Next, you need to navigate to your User Profile page. To do this, click on the user icon in the top right-hand corner of the screen, then select User Profile, or visit this link: Talkroute User Profile Page

     

  3. Copy Your Personal Access Token

    On the User Profile page, scroll down until you see the "Personal Access Token" section. Your unique code will be displayed. To copy it to your clipboard, simply click the Copy to Clipboard button.

And that's it! You now have your Talkroute Personal Access Token, which you can use to connect your Talkroute account to Zapier. Keep in mind that your PAT is sensitive information, so be sure to keep it secure and do not share it with anyone.

 

Permissions


Currently, only administrators can make Zaps with their PAT. Keep in mind that you need full access to the items you want to make Zaps for. For example, if you only have full access to voicemail box "D" and not boxes "A", "B", and "C", your Zaps will only work for new messages in voicemail box "D".

Trigger Events


Talkroute offers three categories of events that can be set as triggers in Zapier:

  • New Voice Message – A new voicemail message is received
  • New Text Message – A text message has been sent or received
  • Phone Call Completed – An incoming or outgoing call is completed

Below is a breakdown of each of the data points available within these event types:

 

New Voice Message

Date Time of the Voicemail Arrival

Displays the date, time, and timezone when the message was received
Formatted: YYYY-MM-DDTHH:MM:SS-TIMEZONE

Call Result

Shows the result of the call: answered, missed, or hangup

Voicemail Duration

Displays the voice message duration in seconds

Talkroute Number

Shows the phone number that was called

Caller Number

Shows the phone number of the caller

Voicemail Transcription

If transcription is enabled for the voicemail box, it will display

Voicemail Box Name

Shows the name of the voicemail box the voice message was left on

 

New Text Message

Date & Time of the Text Message

Displays the date, time, and timezone when the message was received
Formatted: YYYY-MM-DDTHH:MM:SS-TIMEZONE

Message Direction

Shows the direction of the text: inbound or outbound

From

Shows the phone number that the message was sent from

To

Shows the phone number that the message was sent to

Message Body

Displays the text message that was sent or received. Currently, multimedia messages will appear blank.

 

Phone Call Completed

Datetime

Displays the date, time, and timezone when the call was placed or received
Formatted: YYYY-MM-DDTHH:MM:SS-TIMEZONE

Call Result

Shows the result of the call: answered, missed, or hangup

Direction

Shows the direction of the call: inbound or outbound

Duration

Displays the call duration in seconds

Called Number

Shows the phone number that was called

Caller Number

Shows the phone number of the caller

Caller Cname

A caller ID name will display if one is available

 

Frequently Asked Questions


Can I import data into Talkroute using this?

No, the above event data can only be exported from Talkroute at this time.

Will other events or data points be available in the future?

Yes, we plan to expand this feature further to provide both more events and data points within the events. Since this feature is currently in a Beta phase, we are limiting the range of events and available data points to start.

Can I send event data to other platforms outside of Zapier?

No, currently, our service is only configured to send event data to Zapier specifically. If there are any other platforms you would like to see us integrate with, please let us know.
