Greetings and audio prompts help callers know they've reached the right business, department, or voicemail box. You can record a new audio file, upload an existing file, and then assign it wherever callers should hear it.

Record or Upload an Audio File

Log in to the Talkroute desktop application or visit my.talkroute.com.

Click the gear icon to open Settings & Preferences.

Select Greetings & Music on Hold from the menu on the left.

Click Add Audio File.

Choose whether to record using your device's microphone or upload an existing audio file.

Preview the audio file. If everything sounds good, click Next.

Enter a description and select the correct category, such as Welcome Greeting or Voicemail Greeting.

Click Save Changes.
Set Your Welcome Greeting
Welcome greetings are the first messages callers hear when they reach your Talkroute phone numbers (e.g., "Thank you for calling ABC Company"). You can assign a different welcome greeting to each virtual phone number.
- In Settings & Preferences, select Virtual Phone Numbers.

Click the gear icon next to the virtual phone number you want to update.

Under Select Welcome Greeting audio file, choose the greeting callers should hear when they reach this number.
- Click Save Changes.
Set Your Voicemail Greeting
Voicemail greetings are the messages callers hear when directed to a Talkroute voicemail box (e.g., "We're sorry we missed your call..."). You can assign a different greeting to each voicemail box.
- In Settings & Preferences, select Voicemail.

Find the voicemail box you want to update and click the gear icon.

Open the Select Greeting dropdown and choose the voicemail greeting you want callers to hear.
- Click Save Changes.
Other Places to Use Audio Files
The process for adding and assigning audio files is the same throughout the Talkroute desktop and web applications. Anywhere you see an audio file dropdown or upload button, you can select an existing file or record/upload a new one directly from that location.
Common places where you can assign audio files:
- Call Menus: The menu prompt callers hear (e.g., "Press 1 for Sales, Press 2 for Support...")
- Menu Option Announcements: Messages that play when a caller selects an option (e.g., "You've reached our Sales department. Please hold while we connect you...")
- Extensions: Greetings or announcements for individual extensions
- Hours of Operation: After-hours messages (e.g., "Our office is currently closed. Our hours are Monday through Friday, 9 AM to 5 PM...")
- Music on Hold: Audio that plays while callers wait to be connected
